How to make sure your outreach actually lands in the inbox

The one-minute version

Chiflows sends your outreach from the email account you connect — Gmail, Microsoft, or a custom SMTP address. How that email is configured is the single biggest factor in whether your messages reach the inbox or the spam folder. These best practices work for any provider.

Connect yourname@yourdomain.com — a custom domain instantly boosts trust.
Avoid free providers (john@gmail.com, sarah@yahoo.com) — ISPs treat these as spammy.
Publish SPF, DKIM, and DMARC records for your sending domain.
Don't send cold outreach from a brand-new domain before warming it up.
Use a custom domain

Emails from your own domain (you@wellnessco.com) land in the inbox far more reliably than free Gmail/Outlook addresses. If you use a business plan, your domain is covered.

Verify SPF, DKIM, and DMARC

These DNS records prove to receiving servers that your mail is really from you. Without them, outreach is far more likely to be flagged as spam.

Consider a sending subdomain

Separate marketing/outreach mail (e.g. outreach.wellnessco.com) from your transactional mail. If your sending reputation ever takes a hit, your main domain stays clean.

Warm up a new domain or address

Don't blast 200 emails from a fresh address on day one. Send small volumes first and scale up so providers learn to trust you.

Keep volumes reasonable

Chiflows enforces per-day and per-month limits on your tier. Spread sends across your send window — bursts look like spam behavior.

Watch your reply rate

Mailboxes that reply keep your reputation healthy. High bounce rates and spam complaints are the fastest way to get blocked.

Troubleshooting

My emails are going to spam

Check SPF/DKIM/DMARC first — that's the most common cause. Then look at volume: send in smaller batches across your send window. Free Gmail addresses are also far more likely to be flagged; connect a custom domain.

Bounce rate is climbing

Invalid addresses hurt your reputation. Keep your lead list clean and pause sending while you prune hard bounces.

I just connected a brand-new domain

New domains have no reputation. Start at low volume, verify your DNS records, and scale up over a few weeks.
